n8n vs Zapier for business automation in 2026

How each tool charges, when the bill grows, and which one fits AI agents and more complex workflows.

Short answer: choose Zapier for quick, simple automations that a non-technical team will own. Choose n8n when workflows run often, have many steps, include AI agents, or must stay on your own servers. Most of the cost difference comes from how each tool counts usage.

A worked example

Take a lead workflow that runs 1,000 times a month with 8 action steps: read the form, enrich the contact, ask an AI model to score it, update the CRM, post to Slack, send an email, log to a sheet and reply. Zapier counts about 8,000 tasks a month. n8n counts 1,000 executions. The more steps a workflow has, the wider that gap becomes.

When Zapier is the better choice

  • Two- or three-step automations between popular apps.
  • A marketing or operations team that wants to build and change things without a developer.
  • Low monthly volume, where a plan stays small.
  • You need a niche app connector that n8n does not have.

When n8n is the better choice

  • Long workflows with branching, loops and error handling.
  • AI agents with tools, memory and approvals in the middle of the flow.
  • High volume, where per-task pricing gets expensive.
  • Data that must stay on your own infrastructure, for privacy or compliance.
  • Custom code steps and direct API calls to internal systems.

What we use at SixSol

We build most client automations in n8n because our workflows usually include AI steps and several systems. Our AI Sales Assistant is one example: a webhook, validation, a Gemini-powered agent with memory and a services tool, conversation logging and a lead upsert, all in one execution. When a client already runs simple Zaps that work, we leave them in Zapier and build only the complex parts in n8n.

Is n8n free?

The self-hosted Community Edition has no licence fee, but you pay to host, secure and maintain it. n8n Cloud plans are paid.

Can n8n and Zapier be used together?

Yes. A common setup keeps simple app-to-app Zaps in Zapier and runs heavier AI or data workflows in n8n, connected by webhooks.

How long does it take to move from Zapier to n8n?

Simple Zaps take hours to rebuild. A set of complex workflows usually takes one to three weeks, including testing. We review your Zaps first and quote a fixed price.
